Since 2005, GEC has supported the public diplomacy opportunities that U.S. Department of State’s J-1 Visa Summer Work Travel and Internship programs offer participants, host families, and host employers. Full-time international students in the U.S. over a university academic summer break participate in the GEC international exchange program. They live, work and train across the country giving Americans a chance to learn about their cultures as they experience ours. GEC is a proud member of the Alliance for International Educational and Cultural Exchange and the World Youth Student and Educational (WYSE) Travel Confederation.

 

ABOUT THE POSITION

The Administrative Clerk is responsible for providing administrative support to the Vice President (VP) of Sales.  This position assists the VP of Sales with operational support and project responsibilities.  The Administrative Clerk receives training from the Director of Operations.  This position reports to the VP of Sales and provides excellent customer service to team members and clients.

 

JOB DUTIES AND RESPONSIBILITIES     

  • Complete projects and special assignments; monitor progress
  • Process documents to ensure candidates interview successfully for their Visa
  • Review documents to accept candidates into an international exchange program
  • Collaborate with the US Department of State to secure documents for international exchange visitors
  • Assist international exchange visitors with scheduling embassy appointments
  • Problem-solving; making adjustments to plans
  • Answer and direct calls to appropriate parties and take messages
  • Prepare presentations
  • Prepare and communicate responses to routine memos, letters, or correspondence on behalf of VP of Sales
  • Build relationships with foreign agents around the world
  • Assist with building relationships with key employers, host training organizations, schools, state education departments, and others around the world who conduct business with GEC
  • Serve where needed to provide support and assistance for staff and Exchange Visitors
  • Perform other duties as assigned

 

REQUIRED QUALIFICATIONS

  • High school diploma or equivalent. Associate’s or bachelor’s degree preferred.
  • 3 years of experience in an executive assistant or administrative role
  • Proficient in Microsoft Office Suite
  • Ability to work on multiple projects simultaneously while accomplishing daily tasks
  • Effective oral and written communication skills and excellent interpersonal skills
  • Attention to detail and critical thinker with problem-solving skills
  • High standards for integrity, professionalism, and work ethic
  • Ability to work independently while demonstrating follow through
  • Demonstrate flexible and efficient time management and ability to prioritize workload
  • Self-motivated, positive, and enthusiastic
  • Maintain confidentiality discretion
  • Ability to effectively work in collaboration with others to achieve business objectives
  • Attend training as requested
