The Client Services Associate, under limited supervision, uses intermediate skills obtained through experience and training to assist Financial Advisors and provide clients with quality service.  This position follows established procedures to perform routine tasks and receives general guidance and direction to perform a variety of non-routine tasks with limited decision-making responsibility.  The Client Services Associate is required to routinely contact internal and external customers to obtain, clarify or provide facts and information while sustaining a professional image. This position will demonstrate the company values while supporting the mission.


  • Interact daily on the phone and in person with prospective and existing clients including handling basic inquiries
  • Schedule and coordinate meetings, events, and appointments for advisors
  • Process and follow up on client documentation for proper maintenance of accounts
  • Prepare letters, forms, spreadsheets and mass mailings for servicing and prospecting clients
  • Create and maintain records and files
  • Ensure required client paperwork is current with firm and industry requirements, rules and regulations
  • Maintain databases with updates (RJ system, CRM, etc.)
  • Transcribe and prepare correspondence
  • Assist Financial Advisors with advertising submissions for compliance approval
  • Receive cross-training and assist with other operational functions as required
  • Operate standard office equipment and use required software applications
  • Regular and timely attendance is required
  • Perform other duties and responsibilities as assigned


  • High school diploma or equivalent
  • 1 year of administrative experience or college degree in lieu of job experience
  • MS Excel, Word, Outlook, and Power Point proficiency to produce professional documents
  • Operation of standard office equipment
  • Uphold a professional image with external and internal business contacts
  • Work ethically, honestly, and with integrity, including maintaining client and firm confidentiality
  • Ability to work on multiple projects simultaneously while accomplishing daily tasks

  • Ability to work in a traditional professional office setting or remote equivalent
  • Prolonged periods of sitting at a desk and working on a computer
  • Advanced computer skills and ability to effectively operate computer equipment, software systems and databases
  • Work schedule may vary and is determined by project schedules
  • Ability to efficiently operate all job-related office equipment
  • Ability to communicate via telephone, computer and work in virtual teams
  • Must be able to lift up to 15 pounds at a time
  • Ability to travel using personal vehicle to other office locations as needed
  • The responsibilities may require occasional overnight travel
